An overseas owner can manage a Dubai rental only when authority, access and reporting are assigned before a tenant needs them.

What operating model should the owner choose first?

Decide whether the property will be held vacant, occupied by the owner, let under an annual tenancy or operated as a holiday home. Each choice changes registration, insurance, access, furnishing, maintenance and cash-flow controls. Property management is the contracted coordination of leasing, registration, rent administration, tenant communication, inspections, maintenance and owner reporting within stated authority. The term should not be used to imply that one supplier automatically performs every legal, financial or building task.

How should authority and provider checks be documented?

Management authority is the written permission allowing a named person or company to perform specified actions for the owner. It should identify what the manager may sign, register, receive, approve or delegate, plus limits, expiry, evidence requirements and termination steps.

DLD states that an owner, an official representative or a licensed real-estate leasing and management company may access Ejari within published conditions. Its separate service for management contracts allows licensed companies to register or renew the agreement between owner and manager. Do not assume a general sales-broker relationship includes these permissions.

What must the management contract control?

Define the property and services precisely. Cover marketing and tenant selection, contract preparation, Ejari responsibility, deposits and rent, inspections, planned and reactive maintenance, emergencies, insurance notices, legal escalation, records and owner communications. State what is excluded.

Set approval rules rather than relying on “reasonable costs.” Identify routine work, work requiring owner approval and genuine emergency action. Require competing quotes or documented exceptions where appropriate, a conflict-of-interest disclosure, invoice support and confirmation of any supplier margin or referral arrangement.

What should maintenance, money and reporting look like?

Create a baseline condition record before occupancy: dated images, inventory, appliance data, warranties, meters, keys and known defects. Schedule recurring inspections and servicing where the equipment and building require them. Define who contacts building management and who can act when the owner is unreachable.

An owner reporting pack is a recurring evidence bundle that reconciles tenancy or booking status, collected income, bank movements, expenses, invoices, work orders, compliance dates and unresolved decisions. It should enable the owner to trace each material amount and action to a source document.

What are the limitations of remote property management?

No contract eliminates distance, provider failure, tenant disputes, building incidents, banking delays or regulatory change. DLD registration of a management contract confirms a service step; it does not independently certify service quality, future performance or the suitability of commercial terms.

Whether the owner needs a local bank arrangement, UAE or home-country tax filing, a particular power of attorney, holiday-home approval or legal representation depends on the individual case. Obtain current, situation-specific advice and verify all licences, documents and service channels at the time of use.

Can a non-resident owner register a Dubai tenancy?

DLD describes Ejari access for owners and official representatives, subject to the published identity and property conditions. A licensed leasing or management company may also use the system within its authorised role.

How can an owner verify a property management company?

Use DLD’s current property-management company enquiry and match the result to the legal entity named in the proposed contract, invoice and payment instructions.

Does appointing a manager remove the owner’s responsibility?

No. The manager performs the authority granted by contract. The owner should still review registrations, money, maintenance evidence, exceptions, complaints and contract performance.

What should a remote owner receive each reporting period?

At minimum, a reconciled income and expense statement, bank or collection evidence, invoices, work-order status, tenancy or booking status, compliance dates and unresolved risks appropriate to the operating model.
